01 Summary

A public catalog, a quote cart, an AI assistant and a quotation builder that turns the customer's request into a formal PDF, with nothing keyed in twice.

02 The shift

Before

  • Quotes over WhatsApp, phone and email
  • A catalog that lived in an Excel file
  • Every formal PDF assembled and recalculated by hand

Now

  • The customer builds their quote on the site
  • A live catalog: price, stock and reviews
  • A branded PDF from the same record, nothing re-keyed

03 How it works

  1. 01

    Search

A search that understands typos and part numbers.

  2. 02

    Build the cart

Add products with price, VAT and stock in plain view.

  3. 03

    Get a folio

The request reaches the team in real time, with its own number.

  4. 04

    The PDF arrives

The advisor adjusts, discounts and exports the branded quotation.

04 What matters

What sets it apart

  1. One record, from request to PDF

The quotation the customer starts on the site is the same one the advisor finishes in the builder. Nothing is keyed in twice and nothing gets lost.

  2. Live prices, intact history

Every line keeps a live reference to the product and a snapshot of that day's price. It refreshes in one click, and an old quotation still says what it said.

  3. An assistant that answers with real data

It answers from the live catalog, with prices and stock, without hitting the database on every question. It is limited to the catalog: it does not make things up.

  4. Google always sees real stock

The Google Merchant Center feeds are generated from the database, so Shopping listings never offer what is not there.

What we built

Zebretaro, a division of Impresoras y Más Bajío, distributes Zebra printers, labels, ribbons and scanners to logistics, manufacturing and healthcare companies in Mexico's Bajío region. Before, quotes were handled over WhatsApp, phone and email against a catalog that lived in an Excel file, and every formal quotation was assembled and recalculated by hand.

We built the public site and the operation behind it. The customer finds the product with a search that tolerates typos, sees the price with VAT, stock, spec tables and reviews, and builds a quote cart that gets a folio number. It is not an online store: there is no payment or checkout, because that is not how a company buys. The sale closes with a quotation.

On the other side, the team manages products, categories, reviews and promotions, watches requests arrive in real time and produces the formal quotation from the same record. An AI assistant answers on the site from the live catalog, and the Google Merchant Center feeds are generated from the database, so Shopping listings show real stock.

Technical story

The centerpiece is a single quotation pipeline. One record serves every quotation, wherever it was born: the customer starts it from the quote cart on the site, and an admin opens that same record in the quotation builder, adjusts line items, applies discounts and VAT and exports a branded PDF or image to send over WhatsApp. Nothing is keyed in twice, and the request from the site stays linked to the quotation that was sent.

The hard part was joining two models that used to be separate without losing history. Every line linked to the catalog keeps a live reference to the product, so prices can be refreshed in one click, plus a snapshot of the name, SKU and price at that moment, so an old quotation still says what it said. Free-form lines, such as installation or freight, are stored as items in their own right. The document was designed at a fixed print width: it scales on screen and exports accurately, product photos included, which are served through the site itself because external image hosts were blocking them.

The assistant answers from a snapshot of the whole catalog, with prices, stock and reviews, refreshed every half hour: it replies with real data without hitting the database on every question, and it is limited to four messages per session and to the catalog. Business rules such as folio numbering, anti-spam limits and rating recalculation live in the database rather than in the application; access to every record is decided by role, on the server.
